POSITION SUMMARY:
The Administrative Assistant is responsible for the secretarial and administrative functions of the Education Outreach Extension Department. She/he will be responsible for working closely with the Assistant Director of the Education Outreach Extension Department. The Administrative Assistant will perform various duties which may include establishing and maintaining filing systems, arranging staff travel, purchase orders, assisting in the preparation of narrative and statistical reports, and managing a variety of office functions. This is a grant funded position.
ESSENTIAL FUNCTIONS:
- Track and record meetings held by department staff to ensure that proper procedures for documenting the results for grant progress reporting are maintained and recorded;
- Perform routine receptionist duties for the department, answering telephones, greeting visitors, and taking messages;
- Provide assistance to main switchboard when necessary;
- Retrieve, classify, and distribute departmental mail, including grant correspondence to appropriate staff and or department and ensure that all outgoing grant correspondence is delivered properly and on time;
- Prepare day-to-day office management documents such as purchase orders, check requests, travel advances, etc.;
- Assist with division secretarial duties as needed;
- Draft professional letters and participate in the preparation of public presentations for identified target groups;
- Promote the mission, purpose and image of the College of Menominee Nation;
- Perform other duties as assigned.
QUALIFICATIONS:
The ideal candidate will possess an Associate Degree in a related field and/or a sound work record with three (3) years experience in similar positions. She/he must be able to accept leadership as well as take leadership from others when appropriate. He/she will have extensive experience with computers and software. Prior experience with scheduling software and Microsoft Office is strongly desired. He/she will be a team player who works cooperatively, effectively and accurately with all College departments and will possess an ability to quickly learn and understand all aspects of College operations. He/she will possess an ability to provide accurate and concise information to a wide variety of individuals and organizations. The ideal candidate will demonstrate superior organizational skills and strong written and verbal communication skills as well as be a self-starter capable of working with minimal supervision. The ideal candidate will possess innovative and creative qualities and skills and be flexible and capable of working in a multi-task environment.
